The Paper-to-Online Moving Plan

A step-by-step plan for migrating bookings, invoices and paper files into online tools, with parallel running and a clean cut-over.

Moving a business off paper is like moving house: it goes best with a list, boxes labelled by room, and one room at a time. Here is the order we suggest.

Before you start: take stock

Write down every paper or offline process: diary, invoice book, receipts envelope, client cards, price lists, staff rotas. Note who uses each and how often. Pick the one causing the most daily friction. That is your first move.

Move 1: Bookings

Set up an online calendar or booking tool. Copy all future appointments into it first. Keep the paper diary running alongside for two to four weeks, then stop. Detailed steps: paper diary to online booking.

Move 2: Invoices

Choose an invoicing tool, add your customer list and your usual line items. Start the new invoice numbers where the paper book ended, so there are no gaps or repeats. Keep the old books safe. More in switching to online invoicing.

Move 3: Files and records

Agree a folder structure before scanning anything. Start with what you use most, then work backwards. Not everything needs scanning; see which paper files are worth scanning.

Each move, the same pattern

  • Set up the tool and enter live data.
  • Run in parallel with paper for a short, fixed period.
  • Cut over on a named date and tell anyone affected.
  • Archive the paper, labelled and dated.
  • Back up the new system and test a restore.

Pace

One move per month is a comfortable rhythm for most small businesses. Rushing several at once is the most common reason a move stalls.
